System Overview


OUR GOAL at Function Point (FP) is to provide you with a customizable workflow that is simple and makes sense.  The information contained within this section is meant to give you an idea as to how your company might choose to work within the FP system and show you how easy it really is.  These aren’t the details – those will come later – these are the key components that will help you understand how your new system is laid out.

SYSTEM COMPONENTS 101:

CRM || Companies and Contacts database + Notes 

  • CRM (Customer Relationship Management) within FP gives you the ability to not only keep all of your prospects, clients and vendors in the same place, it also allows you to keep track of the conversations you have with them.  o    The more information you put into the system the better your data and ability to track it will be.o    Your past Estimates and Jobs will also be valuable information as a component of CRM as you move into the future.

JOBS || Estimates + Jobs + Creative Briefs + Projects + Tasks

  • A JOB in FP revolves around the Estimate and really is the same thing.  This gives you the ability to set up your specific phases, services and tasks for a particular job only once, and with a simple click of a button allows you to be ready to start tracking time (and ultimately profitability).  Briefs, Projects and Tasks are all optional features that you can choose either to use or not.  o    A Brief captures key information about the strategic imperatives and timeline of a Job. o    A Project is like a “file-folder” for grouping individual jobs within a project or campaign.o    A task is a specific item that needs to be completed by an individual or role as assigned.  Think of it as a detailed component of a service.                       

PROFIT || Timesheets + Invoices + Expenses

  • PROFIT is easily tracked throughout the job.  Your team will be tracking all time to a job, inputting PO’s and expenses as well as invoicing your clients through FP.  Your invoices are customizable, searchable and all stored in the same system for future reference, and the key accounting information is transferred directly into your accounting software (or sent to your bookkeeper).

REPORTS || Searchable Data + Key Data

  • REPORTS are pulled from FP through either a searchable list or in our popular reports section.  Once you’ve been using the system you will easily be able to understand which jobs were more successful and be able to use this information for strategic decision making.
